Add SMS Notifications

Overview

This guide will walk you through setting up SMS notifications in CallAgentAI, enabling your AI assistant to send personalized and automated text messages to callers. This feature ensures timely and efficient communication with customers, including appointment reminders, confirmations, and follow-ups.

Setting up SMS notifications allows you to streamline and personalize your text message communication with customers. Once activated, your AI assistant can automatically send updates such as appointment reminders, confirmations, and follow-ups, directly to your callers. You can design custom message templates that include personalized details like the caller’s name, appointment time, and more, ensuring that each message is both relevant and informative. With this feature in place, notifications are automatically triggered based on specific events, helping you keep your customers engaged and informed effortlessly.

Step 1: Log In and Access your Assistant

Sign in to your Call Agent AI account. You can login here.

From the Dashboard, navigate to the Assistants tab on the left-hand side of the screen. Here, you will see a list of all the assistants you have created.

Find the assistant you want to configure and click the Preview button.

Step 2: Create an SMS Notification

Go to the Settings tab and select the Send SMS section.

Click the Create button to open the SMS configuration page.

In the Phone Number section, enter a specific phone number or use a dynamic variable.

If you choose to use a dynamic variable, type "$" followed by the identifier enclosed in curly brackets (e.g., ${caller_phone}).

Step 3: Configure SMS Triggers

Define the triggers for sending SMS notifications.

Examples: triggers could be when a new appointment is booked or a follow-up is required.

Use the Under what condition should it take place? field to guide your assistant on handling the information properly.

Step 4: Customize the SMS Template

Create the SMS message template by entering the message content.

Use variables like ${caller_name}, ${appointment_date}, or other extracted details to personalize messages.

Step 5: Save and Finalize Changes

Once your SMS setup is complete, click the Save button to store the template.

Click the Submit button to finalize the changes.

Your SMS notifications are now ready!

The system will automatically send messages based on the specified triggers, saving you time and ensuring effective communication with your customers.

Step 6: Test and Adjust Your SMS Notifications

Test before finalizing by sending test messages to ensure the setup works correctly and the messages are formatted as intended.

Ensure identifiers match by double-checking that the variables (e.g., ${caller_phone}) used in the SMS setup match the identifiers in the Information Extractor.

Use personalized templates by including details like the caller's name or appointment date in your messages for a professional and engaging tone.

Keep messages concise since SMS notifications should be brief but informative. Avoid unnecessary details to ensure clarity.

Set clear triggers by assigning notifications to meaningful events, such as a new booking or a follow-up, to ensure relevance.

Frequently and periodically review and update templates to match changing needs or improve communication efficiency.
