Configure Email SMTP for Sending Email Notifications

Setting up an SMTP server allows users to send email notifications to their clients or customers using their email addresses. This ensures better email deliverability, branding consistency, and improved recipient trust. If you choose not to configure this setup, all email notifications will be sent from notify@callagentai.co by default.

By properly configuring Gmail’s SMTP settings, users can securely integrate their email accounts with third-party applications like Call Agent AI. The following guide provides a step-by-step process to enable SMTP, generate an app password, and test the setup to ensure successful email delivery.

How to Set Up the SMTP Server in Gmail

  1. Access Gmail Settings – Click on your profile icon at the top right and ensure you have the correct account selected. Click on "Manage your Google Account."

  2. Enable Two-Step Verification – Navigate to the Security tab on the left, scroll down to Two-Step Verification, and ensure it is turned on. This is required for SMTP setup.

  3. Generate an App Password – At the top, use the search bar to type "App Passwords" and select it. Create a new app password by entering a name like "SMTP" and clicking "Create." A 16-character password will be generated—copy it, as you will need it for SMTP setup.

Tip: If you do not see the option to generate an app password, ensure Two-Step Verification is enabled and try again.

How to Set Up the SMTP Server in Outlook

Follow these steps to configure the SMTP server in Outlook:

  1. Open Outlook – Launch the Outlook desktop mail app and sign in using your username and app password.

  2. Access Account Settings – Click on the File menu, select Info, and then click on Account Settings.

  3. Manage Profiles – From the Account Settings dropdown menu, select Manage Profiles to open the Mail Setup window.

  4. Open Email Accounts – In the Mail Setup window, click on the Email Accounts button.

  5. Select Your Email Account – Choose the email account you want to configure and click Change.

  6. Access More Settings – In the Change Account window, click on More Settings to open additional options.

  7. Configure Outgoing Server – In the Internet Email Settings window, navigate to the Outgoing Server tab.

  8. Enable SMTP Authentication – Check the box for "My outgoing server (SMTP) requires authentication", then select the Log on using option. Enter your email address as the Username and input your password. Ensure that "Require Secure Password Authentication" is unchecked.

  9. Set Encryption Type – Click on the Advanced tab. Under "Use the following type of encrypted connection," select SSL/TLS from the dropdown menu.

  10. Save Settings – Click OK, then Next, and finally Finish to complete the setup.

Your Outlook SMTP server should now be successfully configured.

Testing Your SMTP Server

To check if your SMTP server is working:

  1. Go to the GMass SMTP Test page.

  2. Enter your SMTP server name in the SMTP Server field.

SMTP server name:

  • Gmail: smtp.gmail.com

  • Outlook: smtp-mail.outlook.com

  1. Input 465 for the Port number and select SSL under the Security field.

  2. Enter your Gmail email address in the Username field.

  3. Paste the app password in the Password field.

  4. Enter your email address in both the From Email Address and To Email Address fields.

  5. Click the Test it button. If everything is set up correctly, you should see "Connected to {SMTP Server}" displayed.

Once the test is successful, your Gmail SMTP server is ready to use.

Tip: If the test fails, double-check that the app password is correctly copied and that SSL is selected.

  1. Log in to your Call Agent AI backend.

  2. Click on your profile icon at the top right corner of the dashboard.

  3. Select "Edit Profile."

  4. Navigate to User Settings and scroll down to User SMTP Settings.

  5. Under SMTP HOST, enter the SMTP server name of your email provider:

  • Gmail: smtp.gmail.com

  • Outlook: smtp-mail.outlook.com

  1. Under SMTP PORT, enter:

  • 465 for Gmail

  • 587 for Outlook

  1. In the SMTP USER field, enter your email address. This is the address from which email notifications will be sent.

  2. Under SMTP PASS, enter the app password generated from Gmail or Outlook.

  3. Click the save button to finalize your set up.

Your SMTP settings should now be configured correctly, allowing you to send email notifications through Call Agent AI.

Tip: Verify Your Email Integration

Once everything is set up, make a test call using Call Agent AI to ensure that email notifications are being sent from your configured email address. This confirms that SMTP is properly synced with Call Agent AI and that email notifications are functioning correctly.
