Integrating Google Sheets

This integration ensures real-time synchronization, automatically updating lead details, contact information, call statuses, and follow-up actions. Whether you're tracking new leads, managing responses, or overseeing campaign metrics, your data will remain accurate and up-to-date throughout every interaction.
Integrating Google Sheets with CallAgentAI is crucial for organizing and streamlining your call campaigns. This feature allows for easy access to real-time updates, ensuring that all key data points—such as contact details, responses, and appointment dates—are well-organized and always current. The integration also provides customizable headers for your data, allowing you to tailor your workflow for maximum efficiency. Step 1: Prepare Your Google Spreadsheet
Create a Google Sheet with appropriate headers based on your needs.

For Inbound campaigns, add the headers, and the system will populate the spreadsheet automatically when calls are received.
For Outbound campaigns, prepopulate the spreadsheet with at least the lead's name and phone number, along with any other information you wish to discuss or verify during the call.
Step 2: Set Up Your AI Assistant
Sign in to your Call Agent AI account. You can login here.
From the Dashboard, navigate to the Assistants tab on the left-hand side of the screen. Here, you will see a list of all the assistants you have created.
Find the assistant you want to configure and click the Preview button.
Name your assistant.
Add an opening spiel.
Assign a Twilio number.
Configure identifiers, SMS/email notifications, and prompts tailored for inbound or outbound calls.
Step 3: Create a Campaign
Go to the Campaigns menu and click the Add Campaign button.
Fill in the campaign details.
Campaign Name: Choose a name to identify the campaign.
Assistant: Select the configured assistant.
Campaign Type: Choose Inbound or Outbound.
Start Date and Time: Set the schedule for the campaign.
Click Create to save the campaign.
Step 4: Link Google Sheets to Your Campaign
In the campaign settings, click the Select Spreadsheet button.
Sign in to the Google account associated with your spreadsheet.
Grant the necessary permissions requested by Call Agent AI.
After successful linking, you’ll see a confirmation message and a list of available spreadsheets.
Step 5: Configure Spreadsheet Fields
Select the desired spreadsheet and click Add to link it to your campaign.
Under the Spreadsheet Info section, ensure that the headers in your spreadsheet match the identifiers added to your assistant (e.g., Name, Phone Number, etc.).
For example, if the lead's name is labeled as Name in the spreadsheet, it should also be labeled as Name in the assistant’s settings. This ensures accurate syncing and updates of data during calls.
Under the same Spreadsheet Info section, identify the Phone or Mobile Number Column by checking the box under the Phone Field to allow Call Agent AI to recognize phone numbers.
Step 6: Schedule or Run Your Campaign
To schedule the campaign, click the Update and Schedule button.
Schedule campaigns during hours when your audience is most likely to respond.
Use staggered scheduling for outbound calls to avoid overwhelming the AI system.
To start the campaign immediately, click the Run Campaign button.
Step 8: Test and Evaluate Your Campaigns
Test your assistant’s spiel and responses before launching the campaign.
Monitor the campaign progress regularly for any adjustments.
